Introduction
These Terms and Conditions ("Terms") govern your access to and use of the PromptMates community subscription service (the "Service") operated by PromptMates Ltd, a company registered in England and Wales (company number 16776828), whose registered address is 178 Parkview, Great West Road, Brentford, England, TW8 9GU ("we", "us", or "our"). By subscribing to the Service, you agree to be bound by these Terms. Please read them carefully before completing your subscription. If you do not agree, you must not subscribe.
The Service
PromptMates is a private subscription community for Talent Acquisition and People professionals building practical AI skills and workflows. Your subscription includes access to:
- A private Slack community for discussion, networking, and peer learning
- Shared resources, prompts, and templates via Notion and Google Drive
- Live and recorded events hosted via Luma
- A free live show and weekly newsletter (also available to non-subscribers)
We reserve the right to add, modify, or remove features or platforms at any time, with reasonable notice where possible.
Eligibility
You must be at least 18 years of age to subscribe. By subscribing, you confirm that you are a professional using the Service in connection with your work or business.
Subscription & Billing
4.1 Plans
We offer monthly and annual subscription plans in GBP and USD. Current pricing for all plans is displayed on our pricing page at www.promptmates.ai. All prices are exclusive of VAT. PromptMates Ltd is not currently VAT registered; once registered, VAT will be shown at checkout where applicable.
4.2 Auto-Renewal
Subscriptions automatically renew at the end of each billing period (monthly or annual) unless cancelled before the renewal date. By subscribing, you authorise us to charge your payment method on file for the applicable renewal amount.
4.3 Price Changes
We may update subscription prices from time to time. We will give at least 30 days' written notice of any price increase before it takes effect at your next renewal. Continued use of the Service after that date constitutes acceptance of the new price.
4.4 Payment Processing
Payments are processed by our third-party payment provider (Stripe). By subscribing, you also agree to their applicable terms. We do not store your full payment card details.
4.5 Failed Payments
If a payment fails, we will attempt to contact you and may retry the charge. Access to the Service may be suspended until outstanding payment is received.
Cancellation & Refunds
5.1 Cancellation by You
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period and you retain access until that date. 5.2 Cooling-Off Period
The Service is intended for professional and business use. If, notwithstanding the confirmation in section 3, you are deemed a consumer under applicable law, you have 14 days from the date of purchase to cancel and request a full refund under the Consumer Contracts Regulations 2013. However, if you have accessed the community or any digital content during this period, you acknowledge that your right to a full refund may be reduced or waived.
5.3 Refunds
We do not provide refunds for partial billing periods, except where required by law. If you believe you have been charged in error, please contact us at joe@promptmates.ai within 30 days of the charge.
Community Standards & Acceptable Use
PromptMates is a professional community. Members are expected to engage respectfully, act with integrity, and comply with all applicable laws. We reserve the right to remove content or suspend and terminate access for any member whose conduct is, in our reasonable opinion, harmful to the community or in breach of these Terms, without refund.
Content & Intellectual Property
All content created by PromptMates — including prompts, templates, resources, show recordings, newsletters, and training materials — is owned by or licensed to PromptMates. You may use this content for your own professional purposes but may not reproduce, redistribute, or commercialise it without our written consent. You retain ownership of content you contribute to the community. By sharing content within the community, you grant PromptMates and other members a non-exclusive licence to view and engage with it within the community platforms. You confirm you have the right to share any content you post.
Third-Party Platforms
The Service is delivered in part via third-party platforms including Slack, Notion, Luma, and Google Drive. Your use of these platforms is subject to their respective terms of service and privacy policies. PromptMates is not responsible for the availability, conduct, or data practices of these third-party services.
Privacy & Data
Our Privacy Policy (available at www.promptmates.ai/privacy) explains how we collect, use, and protect your personal data in accordance with UK GDPR and the Data Protection Act 2018. By subscribing, you agree to our Privacy Policy. To deliver the Service, we work with trusted third-party processors including Stripe (payments), Slack, Notion, Google (Drive), and Luma (events). Each processor handles your data in accordance with their own privacy terms and our instructions.
Disclaimers & Limitation of Liability
The Service is provided on an "as is" basis. While we strive to maintain a high-quality community and content offering, we do not guarantee that:
- The Service will be uninterrupted, error-free, or available at all times
- Any content or information shared in the community is accurate, complete, or suitable for your specific situation
- Any particular result or outcome will be achieved from applying AI workflows or prompts shared in the community
To the fullest extent permitted by law, PromptMates shall not be liable for any indirect, incidental, or consequential loss arising from your use of the Service. Our total liability to you shall not exceed the total subscription fees paid by you in the three months prior to the relevant claim. Nothing in these Terms limits liability for fraud, death, or personal injury caused by our negligence, or any liability that cannot lawfully be excluded.
Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes via email or within the community at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
